Choosing the tool

Scheduling tools are cheap compared with everything else in this catalog, which changes the decision: the risk is not overpaying, it is buying something your team will not use. A tool that half the staff ignores is worse than a spreadsheet, because now there are two versions of the truth.

📱 Test it on the hardest person, not the easiest

Before features, before price, one question decides more than any other: can the person on your team who is least comfortable with a phone check their own shift, without asking anyone?

Run the test properly. Give them a demo account and ask them to do these four things, alone:

  1. Find out what time they work on Saturday.
  2. Say they cannot work Tuesday mornings from now on.
  3. Ask for a specific day off.
  4. Offer a shift to someone else.

Whatever they struggle with, you will be doing by hand forever. That is your real evaluation, and it takes twenty minutes with the free trial that every vendor offers.

💵 How they charge, and what it should cost

  • Per employee, per month is the usual shape, sometimes with a free tier for small teams. Check whether it counts everyone on file or only active staff — seasonal restaurants get billed for people who left.
  • Feature tiers. The time clock, the reporting and the payroll export are frequently on the upper plan. Price the plan you would actually need.
  • Hardware, if you want a fixed time clock. A tablet at the back door, or punching from personal phones. Both work; the second one raises a question that comes back in topic 5.
  • The realistic comparison. Against what one overstaffed Tuesday costs you, almost any of these tools is cheap. Do that comparison rather than agonizing over a dollar per head.

Do not buy integrations you will not switch on. A payroll export nobody configures is the same as no payroll export, and it appears on the invoice either way.

✅ Questions worth asking before you commit

  • Is there a real free trial, with your own staff and a real week? Build next week's schedule in it before deciding.
  • What happens to my data if I leave? Availability, history and hours should be exportable.
  • Does it work when the phone has no signal at the back of the building, or does the schedule simply not load?
  • Is there a language my team reads? In many kitchens this is the whole decision, and it is often overlooked until after purchase.
  • Month to month, or a year? After the previous course you know why this question matters.
  • Who do I call? Less critical than for a POS — a scheduling outage does not stop service — but you still want an answer.

One more thing, and it is free: whatever you choose, announce it as something that gives staff their schedule on their phone and lets them arrange their own swaps. That is true, and it is the version people cooperate with. A tool introduced as a way to watch people gets used exactly as much as it has to be.
